What is I’mOnIt!?

I'mOnIt! is the user-friendly Equipment and Facilities Maintenance & Management System. 

It schedules Tasks, receives emailed and manual Work Requests, produces Work Orders & Completion Documents. It also keeps track of all work activity, costs, and maintenance parts usage so that it can produce the required audit trail for compliance requirements and the analysis, planning and predictive reports & data that management needs.

What is the Servicer Business Assistant?

This is not a module or separate product, it is just plain ole I’mOnIt! in the hands of an independent service provider like a mechanical contractor, alarm system servicer, restaurant servicer, environmental service firm or marina operator. 

As Managed Service Providers (MSP), their requirements are similar.  They all have recurring scheduled Jobs for their customers (test the alarms, clean the grease trap,  test the water quality in the retention basin) and the Technician needs to perform in the customer view.  Technicians represent the business, so they need the tools to be professional.  

I’mOnIt! is the ‘Service Business Assistant’ that helps the MSP plan for required personnel and parts, produce the schedules, and equip the Technicians with consistent, published Work Orders, diagrams and documents so that they can do the Job professionally. With the ability to use their smartphone in the field to capture pictures of the work situation, the Technician can send them, on-the-spot, to the I’mOnIt! Control Panel, where the savvy MSP can alert the owner (with pictures, a language that customers easily  understand) to fulfill the additional needs and increase the value of the Technician’s visit. 

This presents the enterprise to the customer in the best possible light and increases the servicer’s revenue.  Likewise the MSP can enlist the automatic Follow-up Job to send an “I Care” email to the customer after the work.  And to set up an automatic schedule of emails to notify customers (and prospects) of company specials, etc. 

From an efficiency perspective, I’mOnIt! keeps  all of the information to allow the manager to track parts usage and compare work times to keep the operation ‘on target’.

How can I’mOnIt! help me “Go Green” ?

Plans, documents, diagrams and pictures can be attached to Fixed Asset and Jobs, and can be easily retrieved for emailing or ‘cut & paste’ into other documents.  I’mOnIt! can email Work Orders and Notice of Completion with attached documents or pictures to designated parties. The process can be initiated when Work Requests (Demand Jobs) are entered from email or the Web Portal.

A typical "Green" operations scenario is diagrammed in the Demand Job Appendix in the integrated Help Manual which is evoked by a press of the <F1> key.

Keep in mind that a major goal of Preventative Maintenance is to keep your equipment and facilities in top condition. This keeps resource use at a minimum and can limit harmful emissions.

How does I’mOnIt! help me with Compliance concerns?

Agency rules and Corporate policy Tasks are easily scheduled and executed with I’mOnIt! 

Often, with these situations, other parties need to be ‘in-the-loop’.  At the point of Work Order and Completion, the Control Panel can automatically send emails to all parties ‘in-the-loop’. 

The system also captures the dates and status at each stage so that this data is available for compliance audits. 

Your operations look good because you follow the rules and you have the data to prove it.

How can I use email with I’mOnIt! ?

Work Orders and supporting documents will be sent to Technicians and others from the [E-mail Work Order] Button. 

Likewise, Completion Notification and supporting documents and pictures will be sent to designated parties designated via the [Task Information] Button. 

Demand Jobs are created via Email.

The Online Help shows a detailed diagram of a typical operations scenario in the Demand Job Appendix.

I rely on our corporate “Legacy” System to handle my Parts, Any help there?

In many situations there is a real operational efficiency to tying the use of parts to maintenance routines. 

I'mOnIt! allows you to create and maintain a master roster of parts, their quantities and costs.  Part quantities are automatically increased and decreased based on Job activity.  You can also manually parts usage and quantities.  

Parts usage due to Job activity can be exported in Excel format.  The data can be import into the “Legacy” system. 

Additionally, the system can produce an export of the complete parts roster for the “Legacy” system or accept an import file from the “Legacy” system to update and augment the parts roster.

I already have a system. Is it difficult to convert?

Short Answer:  "It depends on how your current system is configured and what you can get out of it.."

Is there a way to back-up my I’mOnIt! data?

Yes, you can include the I’mOnIt! data in your normal system backups.

Job Types and Scheduling

What is a Demand Job?

A Demand Job is our term for a Work Request created by email.

People you designate can request service by including the Fixed Asset in the “Subject : line” of an email sent to your maintenance email address.  

Their request appears as a uniquely color-coded ‘Open’ task on the Control Panel which can edit and complete at any time.

The requester  can get an acknowledgment of the receipt, and notification when the Task was executed and completed.

How will I’mOnIt! alert me when a Task is due?

I’mOnIt! alerts you when a Task is due by displaying all the Tasks on the Control Panel.

The Tasks are classified by icons that appear to the left of the individual Task.

The green check mark denotes Tasks that are currently due.

Can I assign the same Job to multiple pieces of equipment quickly?

Yes, by creating “Classwide Jobs”, you can automatically assign Jobs to multiple assets

You can use the ‘Copy From Template’ button to duplicate details from Jobs you previously created  (and then make changes)  to any number of Fixed Assets of different Classes .

What is the difference between a Job and a Task?

A Job is the description of work steps to be performed. 

When it is time to perform the Job (based upon the schedule you created), a "copy" of the Job appears on the Control Panel.  The copy is called a Task  From the Control Panel you can make changes to that Task as needed and the changes will not affect the original Job that you created.  


How do I manage my many Tasks?

You can filter your Tasks on your task list by selecting the “Set Filter” button on the Control Panel.

You can filter your Tasks according to

  • Date
  • Technician
  • Event
  • Class
  • Fixed Asset
  • and more.

What are Job “types”?

I’mOnIt! has different Job types to provide efficient ‘pathways’  to address the variety of scenarios you face every day.

On the Control Panel they are distinguished by colors:

  • ClassWide Job
    • A Job created at the Class level.  A ClassWide Job appears on the Control Panel as it’s schedule dictates.  Its creation and any subsequent changes automatically apply to all Fixed Assets in the Class.  (Quite a set-up timesaver!)
      • Example:  All vans in your fleet are included a Class called VANS.
      • You create a ClassWide Job for routine service every 10,000 miles. 
      • The Routine Service Job automatically created for all of your vans.
  • Standard Job
    • A Standard Job is established for an individual Fixed Asset and also appears on the Control Panel as it’s schedule dictates. 
      • Following the Example Above:  One of the vans in your fleet has a pneumatic lift for loading and unloading heavy items.
      • The lift must be lubricated every 90 days.
      • You create a Standard Job for the lubrication for this individual van.
      • This Standard Job will continuously appear every 90 days  
  • OneTime Job
    • A OneTime Job addresses one-time situations that come up in which a job needs to be scheduled once (usually at the discretion of the manager or supervisor.)
      • It appears on the Control Panel only on the date scheduled
      • After the job is completed -- it does not appear again.
      • Example:  A delivery driver reports that his van's brakes are beginning to squeal.  The supervisor enters a OneTime Job for the following Monday for the mechanic to check the brakes.   
  • Immediate Job 
    • An Immediate Job addresses an immediate situation. 
      • You create an Immediate Job to enter a job that you want done right away.
      • A Work Order is produced immediately and the job appears on the Control Panel
  • Quick Job  
    • A Quick Job is a job that was not previously entered but has already been done by the time you get notice.
      • You can enter a Quick Job when you want to capture the fact that the work was done and document the costs and parts used
      • It does not show on the Control Panel.
  • Follow-Up Job
    • A Follow-Up Job is automatically created when you designate any job for follow-up.
      • It will show in the Control Panel based on the follow-up days that you set.
      • Example:  You repair a leak in a cooling unit and you would like to be reminded to go back in three days to check the coolant level to make sure the leak was completely fixed.  
  • Future Job
    • If you want a job that you have entered to appear on the Control Panel a few days ahead of time, this is called a Future Job.
      • This feature is a valuable benefit for managers who have a need for ‘lead time’.
      • Example:  You replace all of the filters in your HVAC units every 90 days, but you do not keep a supply of filters on-hand.  You designate the filter change job to appear the Control Panel five days before it is to be done to allow yourself time to order the filters.
  • Warranty Job  
    • A Warranty Job is a OneTime Job, that shows a watermark of “WARRANTY” on its work order.

 

Licenses and Costs

Am I eligible to receive future updates?

Typically, there is a new release with new features, twice-a-year. 

Users who purchase the Annual Support offering with their initial license purchase and do not let it lapse, are eligible to recieve these for free.

What are my purchase payment options for I’mOnIt!?

I’mOnIt! software accepts all major US credit cards.

We also accept US Government purchase cards via GSA Advantage. 

Arrangements can be made so that we can also accept your company check.

Do I have to purchase separate modules?

NO! all functions are included in I’mOnIt! 

There are no modules to purchase to get additional functionality.  

The ability the manage Equipment maintenance, Facilities operations, and produce Agency and/or Corporate Policy Compliance audit trails are native to I’mOnIt!

What is the Licensing Model?

The I'mOnIt! licensing model is based on concurrent users. For example: the purchase of a single user license does not limit you to installing on only one PC. You can install I'mOnIt! on any practical number of PCs, each pointing to the data hosted on the server. Each PC install involves an easy registration step, which is free if executed within 30 days of purchase. If your operation requires that more than one PC must access the database at the same time, you would purchase the license that would accomodate your needs.

How does Forecasting help my operation?

Just by selecting a future date, I’mOnIt! looks into the future and presents the Tasks that will come due.

Looking at the Technicians assigned, shop floor utilization, and the parts necessary, the maintenance manager knows to get the parts ordered and personnel shifts to keep things operating smoothly.

What is Automated Consumption?

When equipment is used in a predictable fashion, we can use that predictability to reduce the clerical work and still have the benefit of proper monitoring. 

Take the case of a commercial uniform service.  The factory recommended maintenance services of the washers are based on ’loads’, but the firm’s operations consistently correlate 12 loads to a day. 

With Automated Consumption, I’mOnIt! calculates the loads without the effort of inputting consumption.

Is I’mOnIt! compatible with any computer?

I’mOnIt! is built from Microsoft Visual Studio.  It is compatible with virtually any Windows-based computer.  Simply put, if you run Windows XP, 7, or 8 on your computer, you should be able to run I'mOnIt!
